Our Fixed-Wing Air Ambulance Process

Air Medical Transport provides complete bed-to-bed fixed-wing air ambulance transport management.
Our Flight Coordinator Specialists manage each transport through selected FAA Part 135 and/or EASA-certified fixed-wing air ambulance operators.
The patient's physicians guide clinical decisions. Our team uses the information provided to review fixed-wing air ambulance options, transport planning requirements, and the next steps needed to move forward clearly.
Available 24/7 for time-sensitive fixed-wing air ambulance transport planning guidance.
A Clear, Structured Path from Quote to Transport
You do not need to coordinate multiple parties or manage transport logistics alone. Our team remains your single point of contact from the first call through arrival at the receiving facility.
The process begins with a quote request, then moves into booking details, agreement review, required payment steps, verification, scheduling, and coordinated transport oversight when the required elements align.
1. REQUEST A QUOTE
Provide the general medical and location details required for us to review available fixed-wing air ambulance options and prepare an estimate. This step helps identify the transport requirements for review, including the patient's condition, physician guidance, required medical support, origin, destination, requested timing, documentation, airport suitability, and operational availability.
2. BOOK AN AIR AMBULANCE
After quote review, submit the booking details and required documentation so the transport can be reviewed for formal planning and scheduling. Booking details help align patient needs, routing, aircraft suitability, medical team configuration, and operational availability. Scheduling remains subject to aircraft, flight crew, medical team, routing, weather, documentation, airport suitability, and applicable regulatory requirements.
3. PAY ONLINE
Bank wire payment instructions are included with every quote. If you prefer to pay or complete an approved credit card authorization online, please use the following link:
Complete the required payment or the approved preauthorization per the booking requirements. Booking and transport arrangements proceed after the required agreement and payment steps are completed, credited, or properly pre-authorized.
Once booking requirements are complete and availability is confirmed, a dedicated Flight Coordinator Specialist manages the transport and provides updates through your preferred communication method. After details are verified and scheduling is complete, you receive a Programmed Flight Itinerary with ongoing updates throughout the transport. For a fuller overview, see the complete fixed-wing air ambulance process.

Confirmation and Ongoing Oversight
Once the Booking Request has been reviewed, verified, approved, and scheduled, your assigned Flight Coordinator Specialist provides the Programmed Flight Itinerary and maintains closed-loop communication to keep authorized parties informed throughout the fixed-wing air ambulance transport.
From this point forward, we maintain continuous transport monitoring, coordinate with care teams, and manage transport details through arrival at the destination facility.
What Happens After Booking
After confirmation, our responsibility is to maintain continuity, clarity, and accountability throughout the fixed-wing air ambulance transfer. This includes:
- Continuous transport monitoring
- Closed-loop communication with sending facilities, receiving care teams, physicians, families, and authorized international care partners when applicable
- Coordination of medical, aviation, ground, and documentation elements
- Timely updates so authorized parties remain informed and aligned
This structured approach helps reduce uncertainty and supports clear communication between the people responsible for the patient's care and transport.
Planning, Availability, and Timing
Fixed-wing air ambulance transport options are transport-specific and remain subject to aircraft, flight crew, and medical team availability at the time of booking, along with patient condition, physician guidance, routing, weather, documentation, airport suitability, and applicable regulatory requirements. International or intercontinental transports may also depend on customs, landing permissions, overflight permits, and country-specific clearances.
Shorter domestic transports may be reviewed and planned more quickly when the required elements align. Long-range, international, or intercontinental transports often require additional planning for routing, fuel stops, documentation, customs, landing permissions, overflight permits, country-specific clearances, and time-zone coordination.
Providing complete booking details and documentation as early as practical helps align the required elements for the intended transport window.
Designed to Reduce Stress for Families and Medical Teams
Every aspect of our fixed-wing air ambulance process is designed to make a complex situation easier to understand. A single point of contact, clear communication, and structured oversight help families and medical teams focus on the patient rather than the logistics.
We guide the process calmly and carefully so the next step is clear, the requirements are understood, and authorized parties know what is happening throughout the transport.
